PENS Outcomes Training

This course is required for all personnel who are involved in the conduct of outcomes assessments in the PENS trial. Please review the material within and complete the procedures outlined to receive credit for training.

I. Verification of competency for the Neuropsychological Core Assessment is an important process to verify that site personnel who will be completing the Core Assessment are trained and competent to conduct the assessment in a standardized and reliable manner. Training will be provided and assessment of competency is required prior to administering the NP Core Assessment to a PENS Trial Subject. All outcomes assessors must complete the training and competency assessment. 

II. The NP Core Assessment consists of: the MOCA,  The SDMT, The BDI-II and the Lawton

III. This training should be documented in each site’s Essential Document Binder to include the date and outcome of the competency testing for each individual person. 

IV. Sites must contact the CCC when additional personnel are hired. An NP Core assessment should not be completed on a patient until training and certification have been completed. The CCC will let the site know when they may begin to conduct the Core Assessment. 

V. Licensed Neuropsychologists and Neurologists do not need to compete Steps 1 and 2 below, however, Step 3 must be completed by all persons who will be administering the CORE NP battery or any of it’s components.

VI. Steps for completing the training and competency are as follows:

a. Step 1

i. Review Core Battery Forms and Scoring Packets. They can be downloaded as a packet at the link below.

iii. Within the packet are the source documents associated with this mock testing. Complete the scoring for each test on the source documents and transfer data to the NP data summary form and save the file. 

iv. Label the file with your site name, your last name and date (e.g. JHU_Lynn_Smith_11.10.17), and upload the source documents as a .pdf file to the eBinder folder “NP CORE Assessment Training”. Please contact Ryan Majkowski at rmajkow1@jhmi.edu to gain access to this dropping point. 

v. Once complete, send Heather Katzen (hkatzen@med.miami.edu) an email signaling that your documents are in the eBinder dropping point.  

vi. Dr. Katzen will review the documents and will email you and the DCC to indicate whether the criteria were met. 

b. Step 2

i. Meet with on-site neuropsychologist to review administration and scoring, address questions and perform mock testing with neuropsychologist if no prior experience with test administration and if practice is needed.  This individual will determine if you are ready to complete STEP 3.  Once you have done this, please send Heather and email indicating that you have completed this Step at your local center and provide the name of the NP that you worked with OR

ii. Schedule a conference call with Heather to review above and do mock testing and review over phone.  Heather will determine if you are ready to complete Step 3.

c. Step 3 

i. Perform mock testing with voice recording. This can be done with the voice memo application on an iphone or other handheld device.  Complete scoring of the CORE NP battery and transfer all scores to the Data Summary Sheet.  Upload voice recording, all source documents and completed summary sheet to eRoom folder  “NP CORE assessment training” within the sub folder with your site name located here

Label two files as above with the added suffix “mock” and ‘mockrecording”(e.g.  JHU_Lynn_Smith_11.10.17_mock, JHU_Lynn_Smith_11.10.17_mockrecording). Send Heather an email or eRoom alert (indicated by the small paper airplane icon in eRoom) indicating that the task is complete.  

ii. Once reviewed you will get feedback as to whether this criteria was met. 

iii. Each of the site team members that will be administering these must upload a mock testing.

d. Once Steps 1-3 are completed you will be certified to administer the Outcomes assessments necessary for the PENS Trial.  

e. Step  4 

i. For QC purposes, within the first month after the first enrollment in the PENS Trial at your site, you will be required to upload two completed CORE batteries (Source documents and data summary form) to the eRoom.  Please save them in the folder labelled “CORE Battery QC” located in eBinder. 

Label them as follows: SITE_LastName_date_QC1 (e.g. JHU_Lynn_Smith_11.10.17_QC1 and JHU_Lynn_Smith_11.10.17_QC2).
